THE OPPORTUNITY

We are looking for a professional, efficient, and well organised Business Support Officer to join our fun and collaborative team based at our head office in the heart of Sydney’s CBD. 

The role will see you providing comprehensive support to key stakeholders across two key functions, as well as overseeing the Business Support Officer to ensure efficient, proactive, and professional support is provided as well as:  

Key Accountabilities:

  • Provide extensive administrative support to the Chief Commercial Officer, Chief Marketing Officer and GM Sales.
  • Provide extensive diary and inbox management support to the Chief Commercial Officer, Chief Marketing Officer and GM Sales to ensure all meetings and activities are scheduled, there no clashes and appropriate times is allocated for meeting preparation and travel time.
  • With the support of the Business Support Officer, provide team support to the Sales and Marketing teams, plus wider Sydney Head Office team when required.
  • Prepare, distribute and manage high-quality correspondence, reports and presentations using various Microsoft Office applications (e.g. Microsoft Word, Excel, PowerPoint etc.) in an efficient and timely manner whilst maintaining confidentiality where needed
  • Book and coordinate all travel arrangements for Chief Commercial Officer, Chief Marketing Officer and GM Sales - domestic and International, including airfares, taxi and accommodation and managing and communicating changes
  • Coordinate events, booking restaurants/event spaces/catering and preparation of refreshments/lunches for Sydney Sales (and other teams) meetings where needed
  • Reconciling and processing invoices and expenses for CCO, CMO and GM Sales
  • Deliver seamless, efficient, and professional business management standards and practices
  • Oversee contractors deliver on their quotes and pickup on non-deliverables 
  • Support the office cleanliness and functionality and assist with team cohesion
  • Work with the EAs to bring company wide initiatives and best practices

 

TO BE SUCCESSFUL:

You’ll be someone who has strong organisational skills, who takes a proactive and solution orientated approach. You will have at least 5 years of prior experience in administrative support as well as:

  • Tertiary qualification in business administration and/or equivalent qualifications would be advantageous
  • Worked in administrative teams to work together for a common goal
  • Strong organisational, planning and problem-solving skills to work in a fast-paced environment
  • Excellent written and verbal communication skills
  • Excellent in PowerPoint
  • Excellent attention to detail
  • In office 4-5 days a week
